Background

In October 2020, Waterhouse Electrical & Engineering Services was appointed by the Lighthouse Schools Partnership (LSP) to deliver a five-year Planned Preventive Maintenance (PPM) programme across 27 primary and secondary school sites. The contract, valued at £80,000 per annum, required full electrical and mechanical servicing, statutory compliance, responsive remedial work, and live reporting capabilities. LSP’s core priority was maintaining a safe, compliant, and disruption-free learning environment across all schools.

Scope of Works

The brief was to deliver SFG20-compliant PPM across all 27 sites, encompassing LGSRs, emergency lighting, ventilation servicing, certification management, and asset lifecycle tracking, all while ensuring minimal disruption to live educational settings. The client required consistent safeguarding standards, efficient scheduling, reliable documentation, and the ability to flex rapidly in response to unforeseen risks such as equipment failures or inspections.

Delivery

We mobilised a dedicated delivery team led by our Head of Electrical Services, with oversight from our General Manager. All work streams were managed via our JobLogic system, with each task issued a unique PM reference and scheduled 12 months in advance.

Engineers received real-time task deployment on mobile devices and submitted digital worksheets including asset status, photography, and site representative signatures — reviewed instantly by our Compliance Manager.

To minimise disruption, we coordinated site access with Headteachers and conducted intrusive works outside of school hours. Our DBS-cleared engineers wore branded uniforms and followed site-specific safeguarding protocols. RAMS were tailored and approved per site, with spot checks and post-visit audits.

Monthly performance reviews with LSP’s Trust Services Manager covered KPIs, remedial follow-up, and risk registers.

When a previous contractor left gaps in asset data, we conducted a full verification exercise across all 27 schools, building a reliable asset database in JobLogic to support future scheduling and decision-making.

A major challenge arose during summer 2023 when Yatton Primary School suffered a significant fire. Once access was granted, we deployed several engineers to make existing and fire-damaged services safe and supported contractors in establishing services to temporary school accommodation, enabling the school to reopen with minimal disruption to pupils.

Results

Over five years, Waterhouse delivered full contract compliance to LSP without a single missed visit or safeguarding incident. Our proactive communications model, real-time reporting, and ability to adapt to school schedules helped build strong working relationships with site leaders.
